Policy Statement

The Counselling Hub Wales is committed to ensuring the safety and well-being of individuals, who may be required to work alone while providing services in our building. This policy outlines the guidelines and procedures to be followed by lone working individuals to minimize risks and promote a secure working environment.

Purpose. The purpose of this policy is to establish measures that promote the safety, health, and security of individuals working alone on our premises while providing a framework for effective communication and support.

Lone Working Definition. Lone working is defined as any situation where an individual is working without direct supervision or immediate access to colleagues, either during normal working hours or outside of regular office hours.

Risk Assessment. Prior to engaging in lone work, individuals must conduct a thorough risk assessment of their working environment. This assessment should consider factors such as the location, time of day, potential clients, and any specific risks associated with the service they are providing.

Emergency Procedures. Individuals working alone must be familiar with and adhere to the organisation's emergency procedures. This includes knowing the location of emergency exits, first aid facilities, and how to contact emergency services. Emergency contact details for the individuals and a designated colleague should be readily available.

Communication. Lone working individuals are required to maintain regular communication with the organisation during their working hours. This may include check-in calls, text messages, or other agreed-upon methods of communication. In the event of any concerns or emergencies, individuals should immediately notify a designated contact person.

Security Measures. Ensure that the building is secure during long working hours. This includes checking that all doors and windows are properly locked and that security systems are in place and functioning. Individuals should also be cautious about sharing sensitive information and mindful of their personal safety.

Reporting Incidents. Individuals are required to promptly report any incidents, near misses, or concerns related to lone working to their supervisor or designated contact person. This includes any situations that may compromise their safety or the safety of their clients.

Review and Revision: This policy will be reviewed periodically to ensure its effectiveness and relevance. Any necessary updates or revisions will be made in consultation with relevant stakeholders.
